Data Protection & AI Usage

Short version: your data stays in Germany. AI is only used with your explicit consent and only in real time — nothing is stored by AI providers.

1. Which data does BayManager process?

Depending on the features you use, BayManager processes:

  • eBay message contents (buyer inquiries, order-related communication)
  • Order data (order ID, product name, status, buyer identifier)
  • Customer master data (eBay buyer ID, email address where provided by eBay)
  • Invoice data (invoice number, amounts, PDF files)
  • Account and billing data (email, company, tax ID, subscription status)

2. How is data processed?

BayManager automatically imports orders and messages from eBay, creates invoices, and — if activated — uses AI to generate draft replies to buyer messages. All automated processes run in the background and are only triggered by active features in your account.

4. Where and how long is data stored?

BayManager (your own data)

All data is stored exclusively in Germany on servers operated by Netcup GmbH (Karlsruhe). Orders, invoices, and message histories are retained for the statutory retention periods under commercial and tax law (up to 10 years). Account data is deleted when the account is closed, subject to applicable retention obligations.

Mistral AI (AI processing)

Data transmitted to Mistral AI (message content + order context) is processed in real time only. Mistral AI does not persistently store the transmitted data. No data is retained on Mistral's side after the request is completed.

5. BayManager as data processor

If you use BayManager commercially and process personal data of your buyers (eBay customers) through the platform, BayManager acts as a data processor on your behalf pursuant to Art. 28 GDPR. A data processing agreement (DPA) can be requested at any time at contact@baymanager.de.
